Connecting with SAP SuccessFactors streamlines your hiring process by automating key tasks. This integration saves you time by automatically inviting candidates to interviews, syncing interview results, and keeping your candidate records up-to-date without manual effort.

How to Set Up the Integration

Connecting to SAP SuccessFactors is a two-step process. First, you’ll establish a connection through a service called Kombo, and then you’ll link it to your account. 1. Set up the Kombo Connection A Kombo Integration ID is required to connect SAP SuccessFactors.
  • If you do not have a Kombo account, visit Kombo to create one.
  • From your Kombo dashboard, create a new integration and choose SAP SuccessFactors.
  • Follow the instructions to connect and authenticate your SAP SuccessFactors instance.
  • Once the connection is active, copy the Kombo Integration ID from your dashboard.
2. Connect to Your Account After you have your Kombo Integration ID, you can finalize the connection.
  • Navigate to Settings and select Integrations.
  • Choose SAP SuccessFactors from the list.
  • Paste your Kombo Integration ID into the field.
  • Click Test Connection to ensure everything is working correctly.
  • If the test is successful, click Connect.
3. Configure SAP SuccessFactors (Optional) To get the most out of the integration, you may want to configure a few things directly in your SAP SuccessFactors instance.
  • Custom Fields: If you want to store Alex interview scores directly in SAP SuccessFactors, create a custom field on the Job Application object.
    1. Navigate to Admin Center > Configure Object Definitions.
    2. Select the Job Application object.
    3. Add a custom field (e.g., alex_interview_score) with a type of Number or Text.
    4. Save your changes.
  • Application Stages: To enable automatic stage updates based on interview results, create or identify the stages you want to use in your workflow.
    1. Navigate to Admin Center > Recruiting > Application Status Configuration.
    2. Create or identify stages for your Alex workflow (e.g., “AI Interview Pending”, “AI Interview Completed”, “AI Interview Passed”).
    3. Note the exact names of these stages — you’ll use them when configuring workflows in Alex.

Using the Integration

Once connected, you can configure automations to manage your candidate workflow directly within SAP SuccessFactors. Automate Candidate Invitations Automatically invite candidates to an interview when their application in SAP SuccessFactors meets specific criteria.
  • In your application workflow, the new-application trigger fires when a candidate applies in SAP SuccessFactors.
  • Add a Filter condition to define which jobs or application stages should trigger an automatic interview invitation.
Sync Interview Results After a candidate completes their interview, their results are automatically synced to their Job Application in SAP SuccessFactors.
  • Stage Updates: The candidate’s application stage can be automatically updated based on their performance. You can define custom stage names in your workflows (e.g., “AI Interview Complete,” “Advance to Next Round”).
  • Interview Notes: A note is added to the candidate’s application, which includes their overall interview score, skill scores and feedback, evaluation summary, and a link to the full report in Alex.
  • PDF Report: A PDF of the full interview report is attached to the candidate’s application.
  • Custom Field Updates: The overall interview score can be written to a specific custom field on the Job Application. A common field name for this is alex_interview_score.
Configure Workflow Actions You can create custom workflows to control how and when information is synced at every step of the interview process. A workflow is built from blocks, and each block starts with a trigger:
  • Manually Invited / New Application: Move the application to an “AI Interview Pending” stage or add a note that the candidate was invited.
  • Interview Scheduled / Interview Missed: Update the application stage or add a note when an interview is scheduled or missed.
  • Decision Updated: Automatically move the candidate to a “Shortlisted” or “Rejected” stage based on the decision made.
