Overview

Organizations allow you to group multiple companies together under a single umbrella. This is useful for businesses that operate across different brands, divisions, or regions but want centralized management and the ability to share resources across companies.

Key Concepts

Organization Structure

An organization contains one or more companies. Each company operates as a distinct entity with its own:
  • Jobs and interview workflows
  • Candidates and sessions
  • Team members
  • Branding and settings
However, companies within the same organization can share users and roles across boundaries.

Companies

Companies are the primary working units within an organization. Users log in to a specific company and work within that context. If you have access to multiple companies, you can switch between them using the company selector.

Managing Companies

Organization administrators can manage companies from Settings > Organization.

Creating a Company

  1. Navigate to Settings > Organization
  2. Click Create Company
  3. Enter a unique name for the company
  4. Click Create
The new company will be added to your organization and immediately available.

Deactivating a Company

If a company is no longer active, you can deactivate it:
  1. Navigate to Settings > Organization
  2. Find the company you want to deactivate
  3. Click Deactivate
  4. Confirm the action
When a company is deactivated, it becomes inaccessible to all users. Any users currently working in that company will be automatically switched to another active company in the organization.

Restoring a Company

To restore a previously deactivated company:
  1. Navigate to Settings > Organization
  2. Click Show Deactivated to view inactive companies
  3. Find the company you want to restore
  4. Click Restore
The company and all its data will be accessible again.

Cross-Company Roles

Roles in Alex can be scoped to specific companies or span across all companies in an organization.

Company-Specific Roles

When creating a custom role, you can select which companies it applies to. Users with this role will only have those permissions within the selected companies.

All Companies Access

For users who need to work across your entire organization, you can assign a role with All Companies access. This grants the role’s permissions across every company in the organization, including any new companies created in the future. This is useful for:
  • Organization administrators who manage all companies
  • Recruiters who work across multiple brands or divisions
  • Support staff who need visibility into the entire organization

Permissions

Who Can Manage Organizations

Only users with Admin access or the manage Organization permission can:
  • Create new companies
  • Deactivate companies
  • Restore companies

Company Access

Users can only access companies that are:
  1. Explicitly assigned to their role, OR
  2. Part of an “All Companies” role assignment

Group companies by brand, region, or business unit for easier management.

Consistent Naming

Use clear, consistent naming conventions to help users identify the right company.

Centralized Administration

Assign organization-wide roles to administrators who need to manage all companies.

Deactivate vs Delete

Deactivate unused companies instead of requesting deletion to preserve historical data.

Common Use Cases

Multi-Brand Operations

Companies with multiple consumer-facing brands can create a company for each brand while maintaining centralized oversight through organization-level administration.

Regional Offices

Organizations with offices in different regions can create separate companies for each location, allowing region-specific workflows while sharing best practices and templates.

Acquisitions

When acquiring another business, you can add their operations as a new company within your organization, allowing gradual integration while maintaining operational separation.
